There are several ways of raising invoices within ClinicYou. The following screensteps assume you are a main account holder (Admin) of your ClinicYou account and you are also a clinician, but the steps are broadly similar for other users too.
- Mark a patient appointment as 'Seen'*
- Enter a fee in the 'Fee' field on an EMR note for contextual invoicing (like Outpatient Visit - Billable, Fee £150)
- Raise an invoice retrospectively from Patient Invoices page
- Raise an invoice retrospectively from Invoices tab within patient EMR.
Raising an invoice as part of an appointment
Please follow the steps below to configure the system to create invoices as part of patient appointments.
First, configure your appointment types
To be able to create an invoice for appointments, you need to configure your appointment types. To do this, go to My Clinic > Manage Resources. You can configure your clinic locations, appointment types, specify fees, enlist your insurers and insurer specific fees for appointments and procedures.
Fix an appointment for patient
You will notice that the default fee you set in the appointment types is displayed on the new appointment panel. This can be edited at this point if you wish.
Mark your patient as seen at front desk
Once the patient has been seen, either the clinician or the front desk staff can mark the appointment as 'Seen' from the popup 'Options' menu on the appointment line. This closes the transacton and once the appointment is marked as 'Paid', the appointment details are passed to 'Unbilled' items tab of the Patient Invoices section.
Under the Patient Invoices > Unbilled tab, you will find all patient related items that are to be billed. You can choose individual patients and gather up all these items into a single or multiple invoices.
